The ShuleOne products
ShuleOne is one system with several front doors. Each is a different audience, not a different school — they all read and write the same records.
The four services a school buys are the school management system, the coding, robotics and AI pathway, ShuleTrack for transport, and the AI tutor. Underneath them all is one login, one set of records — and, for most day-to-day questions, WhatsApp.
School Management — app.shuleone.co.ke
Section titled “School Management — app.shuleone.co.ke”The system the school office runs on, and the largest part of ShuleOne. Eleven modules, one login:
- Registration — students, teachers, support staff, board members, transfers.
- Academics — subjects, exams, marks, grading, report cards, transcripts, CBC rubrics, lesson plans.
- Attendance — daily registers, biometric attendance for learners and staff, absence notices, reports.
- Finance — fee structures, invoicing, receipting, statements, M-Pesa and bank reconciliation, and a full ledger with chart of accounts, journals, budgets and year-end close.
- HR and Payroll — employees, payroll runs, statutory returns, leave, loans, welfare.
- Inventory — stores, requisitions, purchase orders, vendors, assets.
- Library — catalogue, loans, reservations, fines.
- Timetable — a generator with rooms, slots, bells and constraints.
- Transport — see ShuleTrack below.
- Communication — SMS, WhatsApp, newsletters, the notice board, the diary.
- E-learning — notes, assignments, quizzes, past papers, video and live lessons.
Student Portal — portal.shuleone.co.ke
Section titled “Student Portal — portal.shuleone.co.ke”Where learners do the work. It is organised as a journey rather than a list of subjects: a quest is a map, each stage on the map opens a lesson, and each lesson is made of activities — watch, read, try, answer.
The portal adapts to the learner’s age across five tiers, from Sprout for pre-primary to Campus for college.
Parents sign in to the same portal and see a parent view of their children.

The mobile apps
Section titled “The mobile apps”There are two, and they are for different people.
ShuleOne Connect — for parents and learners. The portal as an app, plus the things only a phone can do: push notifications for fees, absences and results; live bus tracking on a map; photographing a document to send to a teacher; and read-aloud activities that listen through the microphone. English and Kiswahili.

Teachers doing tutor work — marking submissions, setting exams — still use the web at
portal.shuleone.co.ke.
Coding, Robotics and AI
Section titled “Coding, Robotics and AI”A CBC-aligned pathway from Grade 1 to Grade 9: block coding in the browser with nothing to install, robotics kits with project briefs and marking rubrics, and AI literacy, digital safety and problem solving. It comes with teacher training and lesson-by-lesson guides, and each level ends in a showcase where every learner has built something.
Learners work through it in the portal; the school runs it from the management system.

The block-coding work opens a full Scratch editor at scratch.shuleone.co.ke. You do not
go there directly — a lesson opens it with the right starter project and sends the work
back when you save.
ShuleTrack — transport
Section titled “ShuleTrack — transport”Parents follow the vehicle live on their phone, with boarding and drop-off alerts morning and evening. The office manages routes, stages, drivers and matrons, gets speed and off-route alerts, and can audit any trip weeks later. Transport fees are billed in the same ledger as everything else.

AI tutor
Section titled “AI tutor”Personalised CBC practice, explanations and support — at school or at home, on any device. Content the school can adopt for classroom use, with voice narration for the early years. Teachers see who is stuck and exactly where.
ShuleTab is an optional dedicated learning tablet for schools that want the tutor on managed hardware rather than on whatever device a family owns.
ShuleOne on WhatsApp
Section titled “ShuleOne on WhatsApp”Most questions a parent or a bursar has are one word on WhatsApp. Type balance and the
balance comes back; type where is the bus and the bus does. It works in English and
Kiswahili, understands ordinary sentences as well as keywords, and answers only to the
person asking — parents see their own children and nobody else’s.
There is nothing to install, which is the point: it reaches the families a mobile app never will.
Live classes
Section titled “Live classes”Video lessons run inside ShuleOne. A teacher schedules a live class in the e-learning module and it appears on the students’ dashboards and in the parent view with a Join button.
The meeting service is part of the platform rather than something you visit separately — always join by selecting the class, because the link carries the room and your identity with it.

Section titled “Public site — shuleone.co.ke”The marketing site, for people who are not yet users. Nothing in these guides applies to it.
How they fit together
Section titled “How they fit together”A student registered once in Registration can immediately be marked present on a register, billed on a fee structure, given a library book, put on a transport route, handed a quest in the portal — and their parent can ask WhatsApp for the balance.
There is no second data entry between the products. If a record looks wrong in one place, fix it at the source in Registration rather than patching it downstream.
