Departments

Departments do more work in ShuleOne than their name suggests. They are used by three separate modules:

• Academics — subjects belong to a department, which is how head-of-department views and subject-group analysis are grouped.
• HR — employees belong to a department, which drives staffing reports and payroll cost analysis.
• Inventory — requisitions are raised by a department, and department consumption reports on what each one spends.

Go to Settings → Departments.

Adding a department

Select Add New and set the name and, optionally, the head of department.

Departments can be edited or removed while nothing is attached to them.

How many to create

Create the departments the school actually organises itself by, and no more. A common set is:

• Academic departments — Languages, Sciences, Mathematics, Humanities, Technicals.
• Operational departments — Administration, Kitchen, Transport, Boarding, Maintenance, Library.

The operational ones matter for stores. If the kitchen and the boarding house share one department, you cannot tell their consumption apart in the reports later.

Note

Changing a department’s name is safe at any time — the records attached to it follow the change. Deleting a department that is in use is blocked; reassign its staff, subjects and requisitions first.
