Creating exams

An exam in ShuleOne is a container: it fixes which classes sit it, which subjects are examined, what each is marked out of, and which grading system converts the result. Get those right and marks entry is straightforward; get them wrong and every teacher hits the same wall.

Go to Academics → Exams.

Select Add New.

Field Notes
Exam name What appears on the report card — “End Term 2 Examination”.
Category The category that sets its weighting.
Term Defaults to the current term.
Classes Which classes sit the exam.
Subjects Which subjects are examined, per class.
Out of The maximum mark for each subject.
Grading system Which set of grade boundaries applies.
Dates Start and end of the examination period.

Out of is per subject, not per exam. A CAT marked out of 30 and an end-term paper marked out of 100 can sit in the same exam, and ShuleOne converts both to percentages before grading. Enter the raw maximum the paper was actually marked out of, and let the system do the scaling — entering pre-scaled marks and a maximum of 100 loses the detail and makes analysis less useful.

Once an exam exists, the options on its row control what happens to it.

  • Enter marks — opens the marks sheets.
  • Analysis — the exam analysis.
  • Report cards — generate the term’s reports.
  • Edit — change details. Editing subjects or maximum marks after entry has started affects marks already captured, so do it before teachers begin.
  • Activate / Deactivate — opens or closes the exam for entry.
  • Delete — only available while no marks have been entered.

An exam has to be active before teachers can enter marks. The usual rhythm is:

  1. Create the exam, leaving it inactive, and check the subject and maximum-mark list.
  2. Activate it on the day marking begins.
  3. Deactivate it once entry is complete and you have run the analysis.

Deactivating before you generate report cards is the safest habit — it stops a late correction from arriving after the reports have been printed, which is how two versions of the same report end up in circulation.

Where several schools or branches sit a common paper, the results can be combined into a joint analysis. Create the exam in each school with the same name and category, then use Joint Analysis to compare — see Results.

Symptom Cause
A teacher’s subject is missing from their sheet The subject was not added to the exam for that class.
A student is missing from a marks sheet They are not registered for the subject — check subject selection.
Marks entry is read-only The exam is deactivated.
Grades are blank though marks are entered No grading system on the exam, or a gap in the bands.
The exam does not appear at all It was created against a different term.
